Terms & Conditions of Hire<\/h1>

Please read these Terms & Conditions carefully before confirming your booking.<\/p>

Definitions<\/h2>

Within these Terms & Conditions:<\/p>

\u201cWe\u201d, \u201cUs\u201d, \u201cOur\u201d refers to Once Upon a Time Event Styling.<\/p>

\u201cYou\u201d, \u201cYour\u201d, \u201cClient\u201d or \u201cHirer\u201d refers to the person named on the booking.<\/p>

\u201cHire Items\u201d refers to all items hired, supplied, styled, delivered, or arranged by us.<\/p>

We reserve the right to amend these Terms & Conditions at any time. The Terms & Conditions applicable to your booking will be those in force at the time your booking is confirmed.<\/p>

1. Ownership of Hire Items<\/h2>

1.1<\/h3>

All hire items remain the property of Once Upon a Time Event Styling at all times.<\/p>

1.2<\/h3>

You are fully responsible for all hire items from the time of delivery, collection, or set up until the items are returned to us or collected by us.<\/p>

2. Payments<\/h2>

2.1<\/h3>

A non-refundable booking fee\/deposit is required to secure your booking. No items or dates are reserved until this payment has been received.<\/p>

2.2<\/h3>

The remaining balance must be paid no later than 14 days prior to the hire date unless otherwise agreed in writing.<\/p>

2.3<\/h3>

Failure to pay the balance by the due date may result in cancellation of your booking without refund of the booking fee.<\/p>

2.4<\/h3>

Any additional charges incurred during or after the booking, including but not limited to damages, cleaning, late returns, additional travel, or rearranged collections, will be invoiced separately and payable within 7 working days.<\/p>

2.5<\/h3>

Failure to pay outstanding invoices may result in legal action being taken to recover the debt, alongside any additional recovery or legal costs incurred.<\/p>

3. Quotes & Amendments<\/h2>

3.1<\/h3>

Quotes are valid for 7 days from the date issued. After this period, prices may be subject to change.<\/p>

3.2<\/h3>

Payment of the booking fee confirms acceptance of your booking and these Terms & Conditions.<\/p>

3.3<\/h3>

Items may be added or exchanged, subject to availability, up to 6 weeks prior to the event date.<\/p>

3.4<\/h3>

The total booking value must not fall below the originally agreed amount. No refunds or partial refunds will be issued for removed items.<\/p>

3.5<\/h3>

Additional items added after booking will be charged accordingly.<\/p>

4. Standard Hire Period<\/h2>

4.1<\/h3>

Unless otherwise agreed in writing, all standard hires are based on a 24-hour hire period.<\/p>

5. Condition of Hire Items<\/h2>

5.1<\/h3>

Our hire items are pre-loved hire products and may show minor signs of wear and tear including small marks, scratches, or imperfections.<\/p>

5.2<\/h3>

Every effort is made to ensure items are supplied in excellent condition. Spare linens may be provided where possible to rectify visible marks during set up.<\/p>

5.3<\/h3>

If a booked item becomes unavailable due to damage or loss prior to your event, we will attempt to provide a suitable replacement. If this is not possible, a refund will be issued for the affected item only. No additional compensation shall be payable.<\/p>

5.4<\/h3>

We make every effort to accurately represent our products in photographs and promotional material. However, colours may vary slightly due to lighting, editing, and screen settings.<\/p>

5.5<\/h3>

We reserve the right to request a refundable damage deposit\/security bond prior to hire for selected items or bookings at our discretion.<\/p>

6. Loss, Damage & Cleaning Charges<\/h2>

6.1<\/h3>

You accept full responsibility for any loss, theft, or damage to hire items (excluding fair wear and tear) during the hire period.<\/p>

6.2<\/h3>

Damaged or missing items will be charged at full replacement value.<\/p>

6.3<\/h3>

Items returned excessively dirty, stained, or requiring specialist cleaning will incur an additional cleaning charge.<\/p>

6.4<\/h3>

Unless agreed in writing, all props and hire items are for indoor use only. Any outdoor use is entirely at your own risk.<\/p>

6.5<\/h3>

Responsibility for hire items remains with the hirer regardless of whether damage is caused by guests, venue staff, suppliers, or any other third parties.<\/p>

6.6<\/h3>

No naked flames, wax candles, sparklers, pyrotechnics, or heat sources may be used near our hire items unless agreed in writing.<\/p>

6.7<\/h3>

Where real candles are included as part of our styling or set up, it is the hirer\u2019s responsibility to ensure they are used safely and supervised appropriately at all times. Once Upon a Time Event Styling accepts no liability for accidents, fire, injury, or damage arising from the use of candles during the hire period.<\/p>

6.8<\/h3>

Outdoor set ups are subject to suitable weather conditions. We reserve the right to refuse outdoor installation where weather conditions may create safety concerns or risk damage to hire items.<\/p>

6.9<\/h3>

Balloon installations and displays are affected by temperature, sunlight, wind, and environmental conditions. Once installed, we cannot guarantee balloon float times or condition.<\/p>

6.10<\/h3>

Clients are responsible for notifying guests of any floral, latex, or material allergies where applicable.<\/p>

6.11<\/h3>

Any packaging, transport materials, or storage containers required for collection may remain onsite until collection unless otherwise agreed.<\/p>

7. Delivery, Set Up & Collection<\/h2>

7.1<\/h3>

Standard delivery and collection hours are between 9:00am and 7:00pm.<\/p>

7.2<\/h3>

We typically deliver on the day of the event or the evening prior and collect the following day unless otherwise agreed.<\/p>

7.3<\/h3>

Deliveries or collections outside of standard hours may incur an additional charge.<\/p>

7.4<\/h3>

On the day of set up, it is your responsibility to ensure the venue space is ready to be dressed. We are unable to move furniture, tables, or chairs unless agreed in advance. Any table linen hired separately should already be in place prior to our arrival if table d\u00e9cor is also being provided by us.<\/p>

7.5<\/h3>

If the same function room is being used for both the ceremony and reception, you are responsible for arranging the venue turnaround unless an additional room restyling service has been agreed with us in advance and charged accordingly.<\/p>

7.6<\/h3>

Any additional d\u00e9cor, fixtures, or attachments added to our hire items by you or your suppliers must be removed prior to collection. Additional charges may apply for extra cleaning or removal time.<\/p>

7.7<\/h3>

All hire items must be available for collection at the agreed time and from the agreed location unless otherwise arranged in writing. Items should be left in a secure area overnight where necessary and collated in one accessible location ready for collection.<\/p>

7.8<\/h3>

Upon collection, we will only accept items listed on your booking confirmation. Any items collected in error that do not belong to us will be reported to you. If these items are not collected or return arrangements made within 14 days, we reserve the right to dispose of them. Any return of incorrectly collected items will be at your expense.<\/p>

7.9<\/h3>

Where customer collection has been selected, you are responsible for ensuring your vehicle is suitable for transportation of the hire items and that adequate protection and securing materials are provided. We reserve the right to refuse release of items if we believe there is a high risk of damage during transportation. No refunds or compensation will be provided in these circumstances.<\/p>

7.10<\/h3>

All quoted delivery and collection prices are based on ground floor access only. Any venues involving stairs, difficult access, long walking distances, or restricted access must be disclosed prior to booking and may incur additional charges.<\/p>

7.11<\/h3>

We are authorised to contact your venue directly to arrange suitable delivery, set up, and collection times unless otherwise requested by you in writing.<\/p>

7.12<\/h3>

If we are unable to collect hire items at the agreed time due to client delay or inaccessibility, a \u00a325 call-out fee plus any additional travel costs may apply.<\/p>

7.13<\/h3>

Where clients are responsible for returning hire items, failure to return items at the agreed time will incur a late fee of \u00a325 per day.<\/p>

7.14<\/h3>

Any items not returned within a reasonable timeframe may be deemed lost, and you will be liable for the full replacement cost.<\/p>

8. Travel Fees<\/h2>

8.1<\/h3>

Travel within a 5-mile radius of PL4 is included within the hire price.<\/p>

8.2<\/h3>

Events outside this radius will incur an additional travel fee charged at \u00a30.50 per mile for the round trip, including both delivery\/set up and collection journeys.<\/p>

9. Cancellations<\/h2>

9.1<\/h3>

Should you need to cancel your booking, the following cancellation charges will apply:<\/p>

More than 8 weeks before the event date \u2013 loss of booking fee only<\/p>

Within 8 weeks of the event date \u2013 50% of the total booking value<\/p>

Within 6 weeks of the event date \u2013 100% of the total booking value<\/p>

9.2<\/h3>

All booking fees\/deposits are strictly non-refundable and non-transferable.<\/p>

9.3<\/h3>

Any postponements or date changes are subject to availability and are at our discretion.<\/p>

10. Equipment Safety<\/h2>

10.1<\/h3>

All electrical items are checked regularly and maintained to a safe standard prior to hire.<\/p>

10.2<\/h3>

Once hire items have been been delivered or collected, responsibility for safe use rests with you.<\/p>

10.3<\/h3>

Children must be supervised at all times when using any hire equipment.<\/p>

10.4<\/h3>

Any games or play equipment hired from us are intended for use by children aged 6 years and over unless otherwise stated. All equipment must be used under constant adult supervision at all times.<\/p>

10.5<\/h3>

The hirer is responsible for ensuring all users are capable of using the equipment safely and appropriately.<\/p>

10.6<\/h3>

All hire items, props, and d\u00e9cor must remain in their placed positions once set up. Items must not be moved, climbed on, leaned against, or otherwise misused, as this may result in injury or damage.<\/p>

10.7<\/h3>

Decorative items are for display purposes only.<\/p>

10.8<\/h3>

Additional terms and conditions may apply to soft play, play equipment, inflatables, or other specialist hire items.<\/p>

11. Liability<\/h2>

11.1<\/h3>

We accept no responsibility for injury, loss, damage, accidents, or consequential loss arising from the use or misuse of hired items.<\/p>

11.2<\/h3>

Once Upon a Time Event Styling accepts no responsibility for injuries, accidents, breakages, or damages caused by the movement, misuse, or mishandling of any hire items by the hirer or guests.<\/p>

11.3<\/h3>

If full payment has not been received by the agreed due date, we reserve the right to withhold delivery and\/or cancel the booking without liability.<\/p>

11.4<\/h3>

To the fullest extent permitted by law, Once Upon a Time Event Styling shall not be liable for any indirect, consequential, or financial losses arising from the hire or use of our products and services.<\/p>

12. Force Majeure & Cancellation by Us<\/h2>

12.1<\/h3>

In circumstances beyond our reasonable control, including but not limited to severe weather, unsafe road conditions, illness, accidents, venue restrictions, or other unforeseen events, we reserve the right to alter delivery and collection arrangements where necessary.<\/p>

12.2<\/h3>

We shall not be liable for any losses, costs, or compensation arising from such changes.<\/p>

12.3<\/h3>

We reserve the right to cancel a booking in exceptional circumstances where fulfilling the hire becomes unsafe, impossible, or otherwise unviable.<\/p>

12.4<\/h3>

In such circumstances, a full refund of monies paid will be issued. No further compensation or liability shall apply.<\/p>

12.5<\/h3>

During set up, we reserve the right to make minor adjustments to styling layouts, positioning, or arrangements where we believe it improves safety, practicality, or the overall appearance of the set up.<\/p>

13. Right to Refuse Hire<\/h2>

13.1<\/h3>

We reserve the right to refuse or cancel a booking where we believe the hire items are unsuitable for the intended use, the venue presents a safety concern, or the event conflicts with our company values or policies.<\/p>

14. Copyright & Use of Images<\/h2>

14.1<\/h3>

All photographs, images, wording, branding, logos, and content displayed on our website, social media platforms, and promotional materials remain the intellectual property of Once Upon a Time Event Styling unless otherwise stated.<\/p>

14.2<\/h3>

These materials may not be copied, reproduced, edited, or distributed without written permission.<\/p>

14.3<\/h3>

We reserve the right to photograph and video our work, including the styling process and completed set up, for use across our website, social media, marketing materials, and other promotional platforms.<\/p>

14.4<\/h3>

If you do not wish for photographs or videos from your event to be shared publicly, you must notify us in writing prior to the event date.<\/p>

14.5<\/h3>

All photographs and videos captured by us remain our property and may include our logo or watermark where appropriate.<\/p>

14.6<\/h3>

Professional photographs featuring our styling are appreciated to be credited to Once Upon a Time Event Styling where possible.<\/p>

15. Privacy & GDPR<\/h2>

15.1<\/h3>

Any personal information provided by you will be handled in accordance with UK GDPR regulations and will only be used for purposes relating to your booking and communication regarding our services.<\/p>

15.2<\/h3>

Your personal information will never be sold or shared with third parties unless required by law or necessary for the fulfilment of your booking.<\/p>

16. Errors & Omissions<\/h2>

16.1<\/h3>

Any typographical, clerical, pricing, or administrative errors or omissions in quotations, invoices, website content, social media, or other documentation may be corrected without liability.<\/p>

17. Acceptance of Terms<\/h2>

17.1<\/h3>
